It is important that we receive your passport details, before your programme start date. Without these details, we are unable to begin the adventure.
The passport number, and each individual's full name, are used to organise accidental insurance cover for your trip. Also, for overnight stays, we must send these details to the immigration office before departure.
You can enter the information into your form, at any time prior to the day your trip begins.
We are a small Thai grassroots NGO. We don't want to be corporate and officious, so we try to keep things like Terms & Conditions to a minimum. However, as a customer, you need to be sure of what you're buying and what happens if something... well, if something happens.
Below are the terms and conditions for Thailand Ecotour! This website is owned and operated by The Mirror Foundation NGO (herinafter known as TMF).
Please review the following basic Terms and Conditions that govern your use of and purchase of services from our website. Please note that your use of our website constitutes your agreement to follow and be bound by these terms of use.
1. BOOKINGS
All bookings are made through this website, via booking form, email contact, live chat or offline message. Bookings can also be made through telephone call or directly at the office. All bookings will be confirmed by TMF once the deposit is received into our Paypal account, or in cash at the office. Confirmation is by email and an invoice will be raised and sent when deposit is made.

2. PAYMENT
To secure booking, a deposit is required + 6% administration fee is paid at time of booking online. Or if deposit is made in person at the office, a fee of 1,000 THB is made at least 24 hours prior to the programme start date (At least 3 days prior to departure for 4 Night Trek and 6 Night Trek). Deposit amount depends on the programme chosen.
Deposit is non-refundable under any circumstances.
Balance of payment due shall be made on the programme start date, in cash (THB) before the programme begins.
Non-payment of deposit by 11:00 hours, on the day before programme start date will result in postponement or cancellation of booking.
3. CANCELLATION
As a booking is not confirmed until deposit is received, and deposit is non-refundable, cancellation before programme start date by the customer does not incur additional fees - the deposit is considered as a donation to the foundation. TMF reserve the right to cancel a booking without notice ahead of the start date, but will issue a full deposit refund.
Cancellation once a programme has begun at any time during the programme will result in loss of full payment. Partial refund will be decided case-by-case, but maximum refund amount will be no greater than 70% of remaining balance due after deposit has been paid.
4. LIMIT OF LIABILITIES
TMF shall not be liable for any injuries, losses, claims, damages or any punitive losses or any consequential damages of any kind (including lost of profits or lost of saving) whether based in contract, tort or otherwise which arise out of or in anyway connected with any use of this website or content found herein.
5. PRIVACY POLICY
Your information is guaranteed complete privacy. Our website uses forms in which you give us contact information (like your name, address, and e-mail address) so you can book travel services, request information and support with us. We use your customer information only when it will be important for us to contact you regarding our service. Our website also uses cookies which store information for registered user's convenience during use.
6. COPYRIGHT
Unless otherwise specified, all materials, including but not limited to images, illustrations, designs, icons, photographs, video clips, and written and other materials that appear as part of this website are copyrights, trademarks, trade dress and/or other intellectual properties owned or licensed by TMF. The website as a whole is protected by copyright and intellectual property law. You may download or copy or share the contents and other downloadable materials displayed on the Site for your personal use only.
7. WARRANTIES
This website is PROVIDED ON AN "AS IS" BASIS WITHOUT WARRANTIES OF ANY KIND. We reserve the right to correct any errors, inaccuracies or omissions and to change or update information/ content at any time without prior notice. As from time to time, there may be information on website that contains typographical errors, inaccuracies, or omissions that may relate to product descriptions, pricing, and availability.
8. SEVERABILITY
No provision of this Terms and Conditions which may be deemed illegal, invalid or unenforceable will in any way invalidate any other provisions of this Terms and Conditions, all of which will remain in full force and effect.
9. GOVERNING LAW
These Terms and Conditions shall be governed by laws of Thailand.
10. MISCELLANEOUS
Any discrepancy of Terms and Conditions between English language and others, the English language version prevails.
Okay, that's the official stuff over with... here are a couple of notes, which can be found elsewhere on the site as well...
You are covered by emergency medical insurance for the length of the programme - you need to provide us with passport name and number for everyone in the group. This does not cover loss of possessions or anything else, so we recommend you have your own comprehensive travel insurance while you are on holiday. In the event of an emergency we will take you to Overbrook hospital, which is a private hospital in Chiang Rai town.
Deposit
In order to avoid late cancellations, or 'no shows', we implemented a deposit payment requirement a few years ago. It has cut our cancellations (and therefore incurred expenses) from 40% of bookings, down to less than 1%.

We cannot yet accept credit or debit card payments, unless these cards are used via the Paypal payment method
We do not accept cheques, eCheque or travellers cheques payments
Remaining fee, after the deposit has been paid is due on the day of the tour (in cash - Thai Baht)

Remaining balance
Balance of payment must be paid in cash (Thai Baht) on the day the programme begins, before we commence the tour, so please make sure you have your payment in cash before we collect you.
Our fees
The fees cover the costs of transportation, meals, guide, homestay accommodation (where applicable), entrance fees, water, and anything else specifically mentioned in the programme. We also absorb the cost for providing emergency medical insurance cover. Any remaining funds are fed back into the project or donated to the foundation at the end of the year to be used by our other projects. We are a non-profit organisation.
Our basic fees are unchanged since 2016
Our fees reduce, based on the number of people in a group. We have certain fixed costs - whether two people or 10 people are in the group - such as transportation, where we still have to use a car and driver no matter how many people join. Most of our tours have a minimum group number of two people, and all have a maximum of 10.
Use the booking form on each programme page to check the cost for the number of people in your group.
Fees for children
Children aged 0-6 years: 300 Baht per child per day
Children aged 7-14 years: 600 Baht per child per day
Refund policy
The deposit is non-refundable. The remaining balance is non-refundable once a programme has started - the programme is considered to have started from the point of pickup. We will consider partial refunds in the event that we have made a mistake, but not for circumstances beyond reasonable control. We reserve the right to alter or cancel a booking without prior warning, and will determine the possibility of a refund case-by-case.
Cancellation policy
There is no penalty for cancelling a booking, except forfeiting the deposit payment (which is non-refundable). We reserve the right to alter or cancel a booking without prior warning if we consider it necessary.
Change of date or programme
As long as we are given enough warning (at least 24 hours), we can usually alter dates and itineraries. So, if your circumstances change, please contact us to update the situation, and we can let you know what the options are.
Change of date doesn't usually incur a fee, unless it occurs on the tour start date - this would forfeit the deposit, and a new deposit must be paid. A programme change may alter the price (+/-) we charge depending on what is altered.
